How We Use AI — and What It Will Not Do

Where artificial intelligence sits in Cehpoint products, what it is allowed to decide, and the specific things we refuse to let it do.

1. Our stance

AI is useful and it is not magic. It reads and writes well; it is unreliable at arithmetic, it cannot verify a fact it was not given, and it will produce a confident, fluent, wrong answer if you let it. We build around those limits rather than pretending they are not there, and this page tells you exactly where the lines are.

2. Where AI is used

Drafting documents from a matter you have opened; reading a document and extracting its dates, obligations and parties; explaining a government notice in plain language; reading an invoice into a set of books; answering questions about your own ledger; suggesting which of our services might address a problem you have described; and writing the descriptions of our services in the language of your trade.

3. Grounded, not imagined

Every AI feature is given the relevant material from your account — your matter, your document, your ledger rows, our real service catalogue — and instructed to use only that. Where it recommends one of our services, the recommendation is checked against the live catalogue and anything that does not correspond to a real service is discarded before you see it. Where it drafts a document, it is required to leave [square brackets] wherever a fact is missing rather than invent one.

4. Arithmetic is not done by AI

Totals, tax computations and balances shown in Cehpoint are calculated by ordinary, deterministic code — not by a language model. Where an AI feature discusses a figure, it is given the number our systems calculated and is not permitted to compute its own. We adopted this rule after observing a model produce three different totals for the same ledger. Language from the model; arithmetic from the code.

6. Your data and model training

Your documents and data are used to answer your requests. They are not pooled with other customers’ data, and they are not used to train models for anyone else. Where a request is processed by a third-party model provider, only the material needed for that request is sent, with sensitive identifiers already masked. 7. When it gets something wrong

It will, sometimes. Every AI output in Cehpoint carries a note saying what it is and what to check, and nothing is written into your books, your tasks or your filings without you confirming it. Where an AI output has caused you a problem, tell us through the grievance process — we keep a record of every AI run against your account and can tell you exactly what was produced and when.

8. Asking for a human

You can always ask for a person. Within our firm products you can request a vetted lawyer or chartered accountant directly, and we will match you. Nothing in our platform requires you to accept an AI answer.
